1. Introduction
These Terms of Service govern your use of Wooma Business, the property inspection and reporting platform for letting agents and property professionals, operated by Wooma Limited (“Wooma,” “we,” “us,” or “our”).
By creating an account or using Wooma Business, you confirm that you accept these terms and have the authority to bind the business or organisation you represent. If you don't agree, please don't use the platform.

3. Eligibility
To use Wooma Business, you must:
- Be at least 18 years old or have the legal capacity to enter into contracts
- Have the authority to agree to these terms on behalf of your organisation
- Use the platform only for lawful purposes and in compliance with these terms
4. Your account
To use Wooma Business, you'll need to create an account. You agree to:
- Provide accurate and complete information when registering
- Keep your login credentials secure and confidential
- Not share your account with people outside your organisation
- Tell us immediately if you believe your account has been compromised
- Take responsibility for all activity that takes place under your account
We reserve the right to suspend or close accounts where we have reason to believe these terms have been breached.
5. Fees and payments
Wooma Business offers two ways to pay:
Pay-per-report
You pay a fixed fee for each property report you generate. The current fee is shown clearly before you confirm each report. You won't be charged until you choose to generate a report.
Monthly subscription
You pay a recurring monthly fee in advance, which gives you access to the platform and report generation within the terms of your plan. Payment is taken automatically using the payment method you provide.
Pricing changes
We'll give you at least 30 days' written notice of any changes to our pricing. For pay-per-report users, updated pricing will apply to reports generated after the notice period. For subscribers, changes will apply from your next renewal date.
Cancellation
You can cancel your subscription at any time. Your access will continue until the end of your current billing period. We don't offer refunds for unused portions of a billing period.
6. Property reports
Reports created within Wooma Business are timestamped records of property conditions at the time of inspection. You should be aware that:
- The accuracy of a report depends on the information and photographs provided by the user
- Reports should be reviewed before being shared with landlords, tenants or third parties
- Wooma is not responsible for disputes arising from the content of reports
- Once submitted, reports are stored as a permanent record and cannot be modified
7. Data storage and access
Reports and associated data are stored securely and can be accessed for as long as your account remains active.
If you close your account, all reports and data will be permanently deleted within 30 days. We'll retain the minimum data required to comply with any legal obligations.

You're responsible for ensuring that any personal data you upload — including tenant names, contact details or photographs of individuals — is collected and processed in line with UK data protection law, including UK GDPR.
8. Acceptable use
You may only use Wooma Business for lawful purposes related to property inspection and reporting. You must not:
- Use the platform to generate false, misleading or inaccurate reports
- Upload content that infringes anyone else's intellectual property, privacy or data protection rights
- Use the Services for illegal, fraudulent or abusive purposes
- Attempt to interfere with, disrupt or gain unauthorised access to our systems or infrastructure
- Reverse engineer, copy or resell any part of the platform
- Use automated tools to scrape or extract data from the platform without our written consent
We reserve the right to suspend access immediately and without notice if we believe there has been a serious breach of these terms. We may also report any breach to the relevant authorities and will cooperate fully with any resulting investigation.
9. Intellectual property
Wooma and all related content, software, trademarks and designs are owned by Wooma Limited. We grant you a limited, non-exclusive, non-transferable licence to use the platform during your subscription or on a per-report basis. This doesn't give you any ownership rights over the platform or its content.
You own the content you upload to Wooma Business, including photos, notes and completed reports. By using the platform, you give us a limited licence to store and process that content solely to provide the service to you.
You must not use our name, logo or branding without our written permission.
10. Limitation of liability
Wooma Business is a business-to-business service. To the fullest extent permitted by law, we are not liable for:
- Any loss of profit, revenue, business or anticipated savings
- Any indirect or consequential losses
- Losses arising from your reliance on report content without independent verification
- Any loss or damage caused by events outside our reasonable control, including outages from third-party providers
- Loss or damage caused by viruses or harmful material resulting from your use of the platform
Our total liability to you in any 12-month period is limited to the fees you have paid to us during that period.
Nothing in these terms limits our liability for fraud, death or personal injury caused by our negligence, or anything else that cannot be excluded by law.
11. Changes to the platform and these terms
We may update the platform and add, change or remove features over time. Where a change would significantly affect the functionality you rely on, we'll give you reasonable notice.
We may also update these terms from time to time. We'll notify you of material changes by email at least 30 days before they take effect. Your continued use of the platform after that point means you accept the updated terms.
12. Termination
You can cancel your account at any time via the platform settings or by contacting us at hi@wooma.app.
We may suspend or terminate your access if:
- You breach these terms and don't remedy the breach within 14 days of us asking you to
- You become insolvent or enter administration
- We reasonably believe continued access poses a legal or reputational risk
On termination, your data will be retained for 30 days, during which time you can request an export. After that, it will be permanently deleted in line with our data retention policy.
13. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
14. General
- Whole agreement: These terms, together with our Privacy Notice and any payment confirmation, form the entire agreement between us.
- No waiver: If we don't enforce a right under these terms at any point, that doesn't mean we've given it up.
- Severability: If any part of these terms is found to be unenforceable, the rest remains in full force.
- Assignment: You may not transfer your rights under these terms without our written consent. We may transfer ours to a successor business.
