As Ayrshire's largest letting agent, Lomond Property manages 700 properties across rural, town, suburban and city locations. At that scale, every minute a property manager spends re-doing a report or re-keying data is a minute taken away from landlords and tenants.
Lomond came to Wooma looking for one thing: a way to streamline the business and get more from each property manager. What it found was faster inventories, better reports, and something it hadn't expected from a software supplier. A team that builds what it asks for, and picks up the phone when it calls.
The problem: a system the team couldn't rely on
Lomond's previous platform let the team down where it mattered most: out on the road. The system went down regularly, reports didn't always sync, and property managers sometimes had to redo work they'd already completed. When they asked for help, the service wasn't there, and feature requests were promised but never delivered.
The final straw came when Lomond tried to retrieve its own historical data. The records were already the business's, but the supplier wanted to charge for access to them.
Alongside that, a lot of reporting happened outside the platform altogether. Additional reports were built manually in Excel, converted to PDF, then uploaded into SME Professional, Lomond's CRM, by hand, one at a time.
The switch: their data, brought across for them
Given how the previous relationship ended, the move itself needed to be painless. Wooma Vault handled the migration on Lomond's behalf, bringing the business's historical records across from the old platform so the team could carry on without losing anything they'd built up over the years.

The solution: faster inventories, consistent standards
With Wooma, inventories that used to take 45 to 60 minutes now take 25 to 30. The gain comes from Wooma Vision, Wooma's AI inventory tool: the team photographs each room on a phone, and Wooma Vision scans the images and builds the inventory automatically. The reports themselves are far more detailed, picture quality is sharper, and every report meets the same standard, no matter who on the team carries it out.
The interface is simple enough that nobody needed training. It does what the team needs and nothing it doesn't, which is a point Lomond comes back to often. Plenty of proptech companies build what they think agents want, and end up with features no one uses. Wooma has stayed focused on the tools that get the job done faster and the processes that make sense on the ground.
The integration: straight into SME Professional, in both directions
The single biggest change for the office has been the integration with SME Professional. Properties sync into Wooma automatically, and finished reports go straight back into the CRM, with no manual uploading in between.
Properties used to be re-keyed from our CRM by hand, and finished reports copied back the same way. Now both happen the moment something changes, on either side.

The custom build: a PAT testing report in two weeks
The Excel-to-PDF workflow was the next thing to go. Lomond needed a report type for PAT testing, something no off-the-shelf platform offered in the way they wanted it. Wooma prototyped and built a fully custom report type within a couple of weeks, consulting the team closely at every stage. Those reports now flow straight into SME Professional like everything else.
We wanted a custom report type for PAT testing, and Wooma prototyped and built it within a couple of weeks. We were consulted at every stage, so what we got was exactly what we wanted. It's like having our own in-house tech team.
Stephen Spence
Director, Lomond Property
For Stephen, that's the difference that matters most as Lomond grows. The Wooma team is highly technical, but explains things in plain terms, stays focused on the metrics that move the business forward, and shows Lomond how to use new technology like AI in ways that make a real difference to the team. There's a sense, he says, that there's nothing Wooma won't do to support the business.
The support: a phone call away, fixed within the hour
The other half of the story is service. Where Lomond's previous supplier was hard to reach, Wooma is a phone call away, even from the car between appointments.
Service-wise, it's worlds apart from anything else. I know I can pick up the phone when I'm driving to an appointment, and if anything needs troubleshooting, it's fixed within the hour. That just doesn't happen with other platforms.

The results: hours back, and everyone better off
The time savings add up across the team. Lomond's two property managers each carry out around five inventories a week, each 25 minutes quicker, which is over four hours a week saved on inventories alone. Add the three hours a week of office admin each of them used to spend processing inspection reports by hand, six hours in total, and the business is getting back around ten hours a week, more than 500 hours over a year.
As Stephen puts it, with Wooma, everyone's a winner. Landlords get a better service and better documentation. Tenants get more thorough inventories, and with them, fairer and faster deposit returns.
What's next: automating more of the admin
Lomond is now working actively with Wooma on further integrations, including connections with utilities providers, to take more of the remaining admin off the team's plate.
Lomond has never used a platform this flexible, and never worked with a supplier that implements custom requests as quickly or listens to feedback as closely. For a business that wants to grow without adding to the admin load, that's exactly the kind of partner it was looking for.
